The arithmetic of fleet compliance

Fleet compliance is not complicated. It is relentless, which is a different and harder problem. Every vehicle carries motor tax, an NCT or CVRT test and insurance. Every driver carries a licence and, for commercial driving, a CPC card. Each of those has a date, and the dates do not coordinate with one another.

Twenty vehicles and twenty-five drivers is comfortably over a hundred live expiry dates. Nobody in the business is employed to watch them. It falls to a transport manager or an office administrator alongside their actual job, which means it gets done properly right up until the week it does not.

How compliance actually fails

The failure is never dramatic, which is exactly why it recurs:

  • The spreadsheet is not opened. It holds every date correctly and tells nobody anything, because it has no way to raise its hand.
  • The reminder goes to the wrong inbox. A renewal notice arrives at a general address, or at someone who has left, and is never seen.
  • The vehicle is reassigned and the row is not. The compliance record now describes an arrangement that no longer exists.
  • The person who tracked it is on leave. Any process that depends on one individual's diligence has a scheduled failure window every year.
  • Driver documentation is tracked separately, or not at all. Vehicle compliance receives attention because vehicles are visible. Licences and CPC cards are often assumed rather than checked.

The cost of these, in fines, in an insurance position no operator wants to test, and in a vehicle off the road at the wrong moment, is wildly out of proportion to the effort of prevention.

Frequently asked questions

Why is a spreadsheet not good enough for fleet compliance?

A spreadsheet holds the dates perfectly well. What it cannot do is tell you about them. It has no idea today is the day something needs attention, so it only works if a person opens it regularly and reads it carefully. Compliance failures happen in the weeks nobody does.

Why track driver compliance and vehicle compliance together?

Because compliance is a property of the combination. A taxed, tested and insured vehicle driven by someone whose CPC card lapsed last month is not a compliant journey. Systems that track only vehicles miss half the exposure, which is why FleetMain holds live vehicle assignments alongside both sets of dates.

Why alert three times rather than once?

Because one reminder is easy to postpone and then forget. Thirty days is enough time to book a test or arrange cover, fourteen is when a booking needs to exist, and seven is when it has become urgent. Three escalating alerts change the behaviour; one does not.

We are a small fleet. Is this worth it?

The number of dates scales with vehicles and drivers, but the consequence of missing one does not. A single lapsed insurance policy or expired CVRT is as serious for a five-vehicle operation as for a fifty-vehicle one, and small fleets are less likely to have anyone whose job includes watching for it.
