Reckon: the back office for multi-shop groups

Reckon closes every till, derives the bank lodgement automatically instead of by hand, and keeps driver hours, wages, supplier expenses and document expiry alongside it, with group-wide shop-against-shop reporting for the owner.

The problem Reckon solves

A single shop can run its back office on paper. The manager counts the till, writes the figures in a book, works out the lodgement, and the owner looks at it on Saturday. It is not elegant, but it works.

At four shops it stops working. Each site has its own book, its own way of recording a shortfall and its own idea of what counts as a float. The owner is no longer looking at figures; they are reconciling four different formats into a comparison that is out of date by the time it exists. Questions that should be instant, such as which shop is running short most often or whether takings are up on the same week last year, become an afternoon's work.

Meanwhile the parts of the day that are not cash, the hours worked, the supplier deliveries, the certificates that need renewing, are tracked somewhere else entirely, or not at all.

How Reckon works

It closes the till properly

Reckon captures the daily close as it actually happens: the float, the denomination counts, and the resulting over or short. Capturing denominations rather than a single total matters, because a recurring discrepancy has a pattern, and the pattern is invisible if all you record is a final figure.

The lodgement derives itself

The bank lodgement is derived automatically from the close rather than calculated by a person. This is a small automation with an outsized effect: it is the step most likely to be done in a hurry at the end of a long shift, and therefore the one most likely to be wrong.

The rest of the day lives beside the cash

Driver hours, wages, supplier expenses and document expiry are held alongside the takings, because they are all part of the same daily close. Keeping them together means the day is captured once, by the person who was there, instead of being reconstructed later from memory and receipts.

The owner sees the group

Reckon reports group-wide, shop against shop. The owner asks a question and gets an answer, rather than commissioning a comparison.

Why Oxus built it

Reckon is what automating admin work looks like when the admin is a daily ritual rather than an occasional task. Nothing in a cash close is complicated. It is just done every day, in a hurry, at the end of a shift, by people whose actual job is running a shop.

Oxus Technologies built and operates Reckon. See hospitality and retail groups for the wider set of problems this sector runs into.

Frequently asked questions

What does Reckon do?

Reckon is the back office for a group of shops. It closes every till each day, capturing float and denomination counts and the over/short figure, and derives the bank lodgement automatically rather than having someone work it out. Alongside the cash it keeps driver hours, wages, supplier expenses and document expiry dates, and reports across the whole group, shop against shop.

Who is Reckon for?

Owners and managers of multi-shop hospitality and retail groups: businesses running several sites where each one closes its own till and the owner needs a single, comparable view across all of them.

How is this different from an accounting package?

An accounting package records what happened after somebody has worked out what happened. Reckon covers the step before that: the daily operational close at each shop, where the cash is counted, the over/short is established and the lodgement is prepared. That is the work that usually happens on paper and gets typed up later.

Why does it track drivers and wages as well as cash?

Because in a multi-site hospitality or retail group they are the same daily close. The manager who counts the till is also the person who knows what hours were worked and which supplier delivered what. Splitting those across separate systems means capturing the same day three times.

Is Reckon available now?

Yes. Reckon is live and in daily use. Details and contact options are at reckon.ie.

Your business, your problem

Every one of these started as somebody's admin nightmare.

Each Oxus platform exists because a specific industry was losing hours a week to a specific kind of paperwork. If that sounds familiar, the free operational audit is where we find out what yours is.
